Each renewal reminder contains a unique, secure link to a client-facing page where they can view matter details, choose to renew or abandon, and optionally pay online.
When a reminder is sent, the system generates a unique, tokenised URL for each recipient. This link:

To prevent accidental abandonment, if a client selects "Abandon", they must verify their decision with a 6-digit PIN sent to their email address. The PIN expires after 15 minutes.
This extra step ensures that only the intended contact can abandon a matter and provides a clear audit trail.
If the matter type's payment mode is set to Online or Both with discount, the landing page includes a payment form. Depending on your configuration, this can be:
Payment is processed before the instruction is recorded. The client's card is charged directly to your firm's Stripe or PayPal account — IP Renewal Desk does not handle or hold funds.
Online discount
When using "Both with discount" mode, clients who pay online receive a percentage discount on the professional fee. The discount percentage is configured per matter type.If enabled in your organisation settings, the landing page can offer batch renewal — allowing the client to renew multiple related matters in a single submission.
The system identifies batch candidates based on matters belonging to the same client with renewal dates within a configurable horizon. Candidates are grouped by matter type or client, depending on your settings.
