Contacts

Contacts are the people and companies connected to your IP matters — clients, agents, applicants, inventors, and payees. Manage your full contact directory from one place.

People vs Companies

Contacts can be either individuals or companies:

  • Individual — has a first name, last name, email, and phone number. Reminders are addressed to them personally.
  • Company — has a company name plus an optional contact person. Reminders are sent to the contact person's email (or the company email if no contact person is set).

Toggle between individual and company mode when creating or editing a contact.

Contact Roles

Contacts are linked to matters through roles. A single contact can hold different roles on different matters. The available roles are:

  • Client — the party responsible for the IP. Reminders are typically sent to the client.
  • Agent — the attorney or agent handling the matter.
  • Applicant — the applicant on the IP application.
  • Inventor — the inventor (for patents).
  • Payee — the party responsible for payment, if different from the client.

Roles and reminders

Reminder templates specify which role receives the reminder. For example, a first reminder might go to the client, while a final warning goes to both the client and the agent. You configure this per reminder template in the matter type editor.

Searching & Filtering

The contacts page provides a search bar that searches across first name, last name, company name, contact person name, email addresses, and phone numbers.

Filter tabs let you view:

  • All — every contact.
  • People — individuals only.
  • Companies — company contacts only.

Sort by name, email, phone, or date created.

Creating & Editing Contacts

Click New contact to add one manually. For bulk imports, see CSV Imports.

When editing a contact, you can update all details. The contact's unique ID (auto-incremented per organisation) is assigned on creation and cannot be changed.

Deleting contacts

A contact cannot be deleted while it is still assigned to a matter role. Remove the contact from all matter roles first, then delete.
