Email & SMS Setup

Configure your SMTP server, email signature, and Twilio SMS credentials so reminders and confirmations are delivered from your firm's own channels.

SMTP Configuration

Reminders and confirmation emails are sent through your own SMTP server, so they appear to come from your firm's email domain. Configure this in Settings → Email → SMTP.

Enter SMTP details

  • Host — your SMTP server (e.g. smtp.office365.com, smtp.gmail.com).
  • Port — typically 587 (TLS) or 465 (SSL).
  • Encryption — TLS (recommended), SSL, or None.
  • Username & Password — your SMTP authentication credentials.

Set the from address

Enter the email address and display name that should appear in the "From" field. Optionally set a reply-to address.

Send a test email

Click "Send test" to verify your configuration. A test email will be sent to your account email address.

Gmail and app passwords

If using Gmail, you will need to create an App Password (or use OAuth) rather than your regular password. Google blocks direct password authentication for third-party apps.

Email Signature

Build a structured email signature in Settings → Email → Signature. The signature is appended to styled reminder emails and includes:

  • Logo — upload an image or provide a URL. The logo is embedded as a CID attachment for maximum email client compatibility.
  • Name & title — the sender's name and job title.
  • Address, phone, website — additional contact details.

The signature only appears in styled emails. If a matter type has styled emails disabled, reminders are sent as plain HTML without the signature.

SMS via Twilio

To send SMS reminders, configure Twilio in Settings → Email → SMS/Twilio:

Enter Twilio credentials

Add your Twilio Account SID, Auth Token, and the phone number to send from (in E.164 format, e.g. +44123456789).

Set an SMS signature

An optional short text appended to every SMS (e.g. your firm name or a disclaimer).

Send a test SMS

Click "Send test" to verify the configuration. A test message will be sent to a number you specify.

SMS reminder templates

SMS reminders are configured as separate reminder templates (type: SMS) within each matter type. They use the same placeholder system as email templates but should be kept short due to SMS character limits.
